• Account details: name, email address, phone number and password (stored only in scrambled, "hashed" form - we cannot see it).
• Rental application: date of birth, Social Security number or ITIN, current address and rental history, household members, pets, vehicles, employment and income, emergency contact, your answers to screening questions and your electronic signature.
• Documents you upload: photo ID and proof of income (and any optional document you choose to add).
• Lease records: lease dates, rent, rent payments and receipts, and your signed lease, if you become a resident.
• Messages you send through our contact form.
• Technical information: IP address and the time of sign-ins, application submissions and document downloads, kept in security logs to protect your account.

• To create and secure your account and to verify your email address.
• To evaluate your rental application, verify the information you provide and contact you about it.
• To prepare and manage your lease and tenancy if you are approved.
• To respond to your messages, and to meet our legal obligations and protect our rights.

We do not sell your personal information or share it for advertising. We share it only with:

• Tenant screening companies (consumer reporting agencies), and only after you authorize a credit, background or eviction check.
• People you list, i.e., your employer, current landlord or references, to verify the information relevant to the screening process.
• Service providers that run this website for us, who may use the information only to provide their service: Amazon Web Services (hosting), our email delivery service, Cloudflare (the “I'm human” check on our forms) and Google (website fonts). Cloudflare and Google do not receive any of your application-related information.
• If the law requires it (for example, a court order), or to protect safety or property.

• The whole site uses encrypted HTTPS connections.
• Uploaded documents and leases are encrypted when stored, kept outside the public website, and can only be opened by you and authorized Home Sweet LLC staff.
• Staff accounts require two-step sign-in; repeated wrong passwords temporarily lock sign-in.
• Access to documents is logged.

About your Social Security number: an SSN or ITIN is required to apply. We use it to confirm your identity and, only if you authorize it, to obtain a credit, background or eviction report for screening. It is encrypted as soon as you submit it, only the last four digits are ever displayed, and the full number can be viewed only by authorized Home Sweet LLC staff - every such view is recorded. We never email it or include it in exports.

If something ever went wrong with your personal information, we would tell you promptly, as Ohio law requires (Ohio Revised Code 1349.19).

• Declined or withdrawn applications: uploaded documents and your Social Security number are automatically deleted about 2 years after the decision; a basic record of the application is kept.
• Residents: application and lease records are kept for the length of the tenancy and as long afterwards as needed for legal, tax and deposit purposes.
• Accounts stay open until you ask us to close them. Unverified accounts with no applications are deleted after 30 days.
• Screening reports are kept only as long as needed and then securely destroyed.

• You can view and update your contact details on your profile page and see your applications under My Applications.
• You can withdraw an application before a decision is made.
• You can ask us to correct your information, or to delete your account and documents, by emailing manager@homesweetllc.com. We may need to keep some records where the law requires it (for example, records of a lease).

• We use only the cookies needed to keep you signed in and to protect forms against forgery. We do not use advertising cookies.
• We count visits to our public pages on our own server, without cookies and without storing your IP address, to see which homes and pages are popular. We use the IP address only to estimate the visitor's general area (city and state), then discard it. Your application details are never part of this.
• Our website does not respond to browser “Do Not Track” signals, because we do not use advertising tracking.

This website is intended for adults 18 and older. We do not knowingly collect information from children, except names and ages of household members that an adult applicant provides.

We may update this policy. The date at the top shows when it last changed; significant changes will be announced on this site or by email.
